User profiles contain the login data and permissions for each person from your company who has access to Tres. Using unique user types and permissions allow agency owners to decide what functionality and areas of program each user has access to.
Users are found in the Settings folder and then under User Profiles. Only Admins and Mangers have access to the User Profiles section.
Search Users
Search for users using the default search bubbles for Login Name, Name, Branch, and User Type. Click + Add Filter if you wish to search by more fields. Results are sorted in ascending or descending order by clicking on the arrow buttons to the right of any column headers.
Delete multiple user profiles by checking the box next to the records you wish to delete and then clicking the Delete button. Learn more about deleting multiple records.
Delete individual users with the Delete User Profile button at the bottom of existing user profiles. Users with Actions or Activities assigned to them cannot be deleted. Only Admins and Managers can delete user profiles.
Export or import a list of users as a .json file with the Export and Import buttons. This allows agency owners to import user profiles from their testing databases. Note: Admins and Managers have the ability to import. Import begins immediately with no preview. The import will merge data of users with exactly the same username, with imported file data overriding any previous data in that profile. User history is not imported. See Exporting and Importing .json Files in Tres.
Add a New User
To add a new user, click on the + Add User Profile at the upper right corner of the screen.
Information:
Create a Login Name. Commonly used login name formats are first name, email address, or a combination of first and last name.
Create a password and communicate that password with the user or new users can create their own passwords by selecting the 'Forgot username/password Click Here link' on the Tres login page when they access the program for the first time.
Password requirements are:
- Passwords must be a minimum of 8 characters and contain one upper case, one lower case, one numerical digit, and one special character.
- Passwords expire every 60 days.
- If you get locked out of your account after 4 failed login attempts in one month, wait 60 minutes before trying again. You may also reset your password.
Enter the new user's full name under Name.
Set the Status to Enabled, and Locked to No.
If your agency uses branches, assign the user to a Branch available in the dropdown menu.
Enter the user's Email and Phone.
Note: The email address is very important, as any password reset information will be sent there.
Email Configuration:
If you would like to send e-mails directly from Tres to your clients, your mail server and E-mail settings must be configured for SMTP, Gmail, or Office365. Email configuration is unique to each user, and has to be set up on an individual basis. Learn more about email configuration.
Email Signature:
Create a user specific email signature by clicking the + Add Email Signature button. Type or paste your email signature in the box. Signatures will appear by default in all email popups across the program.
Note: Signatures will not display when creating Email Templates, but will display when selecting an Email Template from an email popup.
User Type & Permission:
Set permissions. See User Types and Permissions
Advisors:
Click on + Add Additional Advisor and select and advisor name from the drop-down menu or add a new advisor by selecting Add New Advisor. Associating a user to an advisor allows the user to view all data associated with that advisor in Tres such as Travelers, Clients, Trips, Reservations, and Payments.
Associating multiple advisors to a user will allow a single user to view data from multiple advisors. This can be useful if you have an assistant who is working with multiple advisors in your agency and needs access to their data, or if an advisor traveling and another advisor is covering for them.
Checking the box for "Allow Modify Trip Advisor when the Primary advisor for the User is not the Trip Advisor" allows agency owners to control which users are able to edit the Advisor on a Trip. This box will not appear for Admin users or profiles with no Primary Advisor selected. When unchecked, Users are able to edit the Trip Advisor only when they are already listed as the Primary Advisor, or if the Advisor field is blank.
