Once the Tres GDS Uploader is installed and configured, it automatically retrieves interface records from the specified directory and uploads them into Tres. These records become visible in the Import Trips screen upon upload.
Import Trips Screen Overview
In the Import Trips screen, you can filter records by:
- Imported Date Range
- Status
- Booking Type
- Record Locator
Processing Records
The auto-processor handles pending records as follows:
- Automatic Processing: The system processes each pending record, creating a new Trip for properly formatted records.
-
Profile Matching: Tres attempts to match Clients, Suppliers, and Advisors using Interface IDs.
- If a match is found, the record is processed accordingly.
- If no match is found, a Trip is still created, but a warning is generated.
By diligently monitoring and managing interface records, you can maintain the integrity and accuracy of your data within Tres.
Step 1: Open Import Trips
- From the main menu, navigate to Import Trips on the left side of the screen.
- The Import Trips screen shows interface records from the GDS.
- Each row shows: Status, Status Message, Advisor, Booking Type, Sub Type, GDS Invoice Type, Booking Source, Trip Reference, Record Locator, Date Created, Date Imported and Action.
Step 2. Filter for Today's or Yesterday's Records
Do this once per day (or more often, if you like):
- Set “Imported Date Range”:
- From = today (or since last check)
- To = today
- Set Status filter to: Pending, Error, Warning, Imported (leaving out Imported if you only want to see problems)
- Click Search to update the list.
Step 3. Understand the Statuses
On the Import Trips screen:
- Imported → The record was processed and a Trip created successfully. No action required.
- Pending → The GDS record has been uploaded but not yet processed. Tres automatically processes these based on the time interval set in the GDS Uploader, ie, every 10 minutes.
- Error → Trip could not be created. Needs action.
- Warning → Trip was created, but something requires attention (missing or unmatched profile: client, advisor, supplier).
Your daily focus: Errors and Warnings.
Step 4. Handling Errors (Trip Not Created- Needs Attention)
For each record with Status = Error:
- Click here for an explanation of Error messages and how to correct them in Tres.
Step 5. Handling Warnings (Trip Created – Needs Attention)
For each record with Status = Warning:
- Click here for an explanation of Warning messages and how to correct them in Tres.
- Over time, as profiles and interface IDs get set up properly, warnings should drop off significantly.
To ensure data accuracy:
- Regularly filter the Trip Import list for errors and warnings throughout the day.
- To remove items from the list, check the box next to the line item and click Delete.
Step 6. Clean Up the Import Trips List
To keep the list manageable:
- Once a record is Imported and any Warnings are addressed:
- Check the row, click Delete (this removes the message from the Import Trips list only; it does not delete the Trip).
- Doing this daily helps you keep the Import Trips screen focused on only current issues.
