Streamline the process of sending important documents to Clients with Document Acknowledgment Templates. Create templated sets of attachments — such as terms and conditions, waivers, or policy documents — and easily send them to clients from inside a Trip or a Client profile for acknowledgment. Each acknowledgment is tracked within the system, giving you a clear record of which documents have been reviewed and accepted. This ensures better compliance, clearer communication, and a more organized trip management process.
Document Acknowledgments are enabled by navigating to Settings > Agency Settings > Features and checking the box.
This adds a new tile in Settings > Templates for Document Acknowledgment Templates, and a new section in Trips > Documents for Document Acknowledgments.
Create a Document Acknowledgment Template
The document acknowledgment templates created by your agency are found in Settings under the Templates menu. Clicking on any line item will open it and allow you to view the template. Delete multiple templates by checking the box next to the records you wish to delete and then clicking the Delete button. Learn more about deleting multiple records. Note: Templates can only be deleted if they have not been used in a Trip.
Customize your columns by dragging and dropping the column headers.
Click +Add Document Acknowledgment Template to add a new template.
Enter the name and set the status to Active.
Toggle the desired visibility to Private or Public. Private templates are only available to the user who created them.
Enter optional additional information.
Document Acknowledgments must include at least one attachment. Click + Add Attachment. This will open up a pop up. To add attachments, simply drag and drop or browse for the file on your computer. Only one attachment can be uploaded at a time. Click Submit.
To view a saved attachment, click on the appropriate button in the Action column. Attachments will be downloaded to your device.
When all attachments have been added, click Save Document Acknowledgment Template.
Note: Only the status of saved document acknowledgment templates can be edited.
