Refunds will interface into Tres, however, there may be times when a refund needs to be manually added.
- In Trips, search for the ticket that needs to be refunded.
- Use the Reservation Ticket No. filter
- Click Add Filter if you do not have the filter displayed
- Click on the Trip to open it.
- Select the Reservation by checking the box to the left.
- Click Copy and then Click Paste. This will create a duplicate reservation.
- Open the newly created Reservation.
- Change the booking date to reflect the refund date.
- Enter the ticket number and select the appropriate ARC number.
- Enter a negative Total Fare
- If it's a full refund, enter a negative sign at the beginning of the field.
- If it's a partial refund, clear the field and enter the refund amount as a negative number. IE: -500.00
- Click Save Reservation To Trip in the upper right corner of the screen.
- Click Save in the upper right corner of the screen.
- Once you save, you will have a Client Balance on the reservation
- Click Payments
- Click Add Payment
- Enter the following:
- Paid By: Supplier
- Paid To: Client
- Select Client: Will be prepopulated with the client name
- Payment Date: Date the refund was done
- Amount: Will prepopulate with the ticket amount
- Method: Choose the original form of payment
- If you choose Credit Card, you will need to enter a credit card number and expiration date. Name on the Card is optional
- If you choose Check, you will want to enter the check number used to refund the client
- Traveler: Will prepopulate with the traveler name
- The refunded reservation will appear and the Unapplied Payment Amount will be 0.00
- Click Save in the upper right corner of the screen
