Keep your clients up to date on all trip details with a trip statement. This document is created automatically from all trip, reservation, and payment details of a trip. The data is dynamic, and will always reflect the most recent saved changes to a trip.
Trip statements are branded to the individual advisor, agency, or branch. The client's name and address appears on the top left along with the Advisor, Branch, or Agency address. The top right includes the trip dates, a list of all linked traveler, and a trip number generated by the program.
Reservations are listed in order of departure date and each is its own line item and unique Reservation Number on the statement. Service Fees and Insurance reservations are displayed last with Insurance displaying above Service Fee. Line items display the travel category, dates, supplier, confirmation number, and total fare by default. Foreign currency fares will appear if entered at the Reservation level. Clicking on the category name expands the full reservation or sub reservation details.
Note: The display of Reservation and Sub Reservation data can be customized at the individual reservation level.
If any reservation suppliers have trip statement remarks entered, they will be displayed. Learn how to add supplier trip statement remarks.
All payments made on the trip are listed in the Payments section, unless the reservation has "Viewable on Trip Statement" or "Include Fare on Trip Statement" unchecked.
Deposit and final payments are listed in the Payment Schedule section. Reservations with "Viewable on Trip Statement" or "Include Fare on Trip Statement" unchecked will be excluded. Deposit and final payment amounts are calculated from the reservation client balance less the non completed deposits. Example: a reservation has a total fare of $100 and a final payment date of 4/5/2025. The client has already paid $20. The amount of the final payment will be $80.
Trip statement remarks are listed at the bottom of all statements in the order of Agency level, Branch level, and Trip level. Agency and Branch level remarks are entered in Settings.
Send a trip statement to your client via email, a printed hard copy, or a web view URL.
Attach
Attach a copy of the trip statement to the Attachments/Links folder of the trip. Attached statements default to Viewable By > Agency Only.
Note: After clicking Attach, click Save All to save the attachment. If you move to Attachments/Links in the Trip, and you do not see the download Action, save the Trip by selecting Save All in the upper right corner.
E-mail
Generate a pop up to email the trip statement directly to travelers associated with the trip. All reservation details will be expanded by default.
Print
Print a physical copy of the trip statement. All reservation details will be expanded by default. Note: A new browser tab will open. Toggle back to your trip after the document prints.
Web View
Open the trip statement in a new tab in your browser. Note: A new browser tab will open. Toggle back to your trip after the document prints.
