Import Client and Traveler data from a source file directly into Tres with the profile import tool. This will allow new users to populate their database quickly and efficiently and let existing users import a list of prospects from a trade show or networking event.
We have attached a template at the end of this article to assist in formatting your import file.
Note: For a successful import, you cannot have mandatory tags set up for clients or travelers. We recommend that you edit any mandatory tags for these areas to optional, proceed with the import, and then edit the tags back to mandatory. Also, any tags that are marked "value required" must have a default value entered.
You must have a Manager or Admin user type to use Profile Import.
The current list of fields that can be imported are:
- Client Name
- Address Line 1
- Address Line 2
- City
- State
- ZIP
- Country
- Interface ID
- Client Phone
- Client Email
- Advisor
- Traveler First
- Traveler Middle
- Traveler Last
- Traveler Email
- Traveler Phone
- Traveler Date of Birth
- Tag
How to Import Profiles From a .csv File Into Tres
To begin a new profile import, open the Settings folder and then click Profile Import.
Drag and drop the .csv file you wish to import, or click the Browse button to choose a file from your computer.
Click Next.
In the file mapping section you will decide how you want your data to import into Tres. The Tres Columns column lists the fields within Tres that data can be imported into.
The Action column dictates how you want your data to import into Tres. The Import Value column is where you select the data to be imported based on your selections from the Action column.
- Ignore - data will not be imported into Tres.
- Map - map the field in Tres to data from your imported file.
- Constant - records imported will have the same value entered into the Import Value column.
Selecting Map as the Action will generate a Source Column dropdown menu in the Import Value column. The dropdown menu will display all column headers from your import file.
Fields available to Map are:
- Client Name
- Address Line 1
- Address Line 2
- City
- State**
- ZIP
- Country**
- Interface ID**
- Client Phone
- Client Email
- Traveler First
- Traveler Middle
- Traveler Last
- Traveler Email
- Traveler Phone
- Traveler Date of Birth**

Selecting Constant as the Action will generate a Constant Value field in the Import Value column. Enter the data you want on all imported records.
Fields that are Constant are:
- Client Type**
- Address Marketing Permission
- Client Phone Type
- Client Phone Marketing Permission
- Client Email Marketing Permission
- Advisor
- Branch
- Traveler Email Marketing Permission
- Traveler Phone Type
Specific Field Rules:
- Client Type - the only Action available is Constant and the Import Value options are Personal and Corporate. If the Import Value is not selected, all imported profiles will be Personal.
- Client Name - the only Action available is Map. An Import Value is required for a successful import.
- State - Constant Value or data from the import file must be formatted as two characters. (Examples: CA, FL, LA)
- Country - Constant Value or data from the import file must be formatted as two characters. (Examples: US, CA, GB)
- Interface ID - the Actions available are Map and Ignore. There cannot be duplicate Interface IDs in Tres.
- Advisor - the Actions available are Ignore and Constant. If Constant is selected, the Import Value dropdown menu will display a list of all advisors in Tres.
- Branch - the Actions available are Ignore and Constant. If Constant is selected, the Import Value dropdown menu will display a list of all branches in Tres.
- Traveler Date of Birth - Data from the import file must be formatted as MM/DD/YYYY. (Example: 01/07/1977)
- Tag - Tags will be added to the Client profile.
As you make selections in the File Mapping section, a preview of the data from the first five records will display to the right in the Preview section. This gives you an idea of how your data will be imported.
Once you've finished mapping your data, click Start Import. A pop up will appear displaying the progress of the import. Do not close your browser during the import, as this could result in only part of your data importing.
After the import is complete, a summary screen will appear displaying the number of records from the source file, the number of records imported, the number of duplicate Interface IDs that were ignored, and any errors. Future versions of the program will include details of errors.
All imported profiles will include a tag of ProfileImport.
