Today we all have our own email, cell phone, etc. Because of this, Tres emphasizes the traveler as an individual. Traveler records stand on their own. They include deep information on a person including marketing tables, contact information, communications, etc.
Unique Traveler characteristics include:
- Travelers can be associated with one or more clients or stand alone, and can also be associated with suppliers and advisors.
- Any traveler can be linked to a reservation – independent of the client for the trip.
- All Traveler associations and links can be unlinked and unassociated at any time during the booking process.
- Travelers are independent of payments (as they are independent of the Client).
- Each traveler has their own General, Communication, and Activity information.
If the booked traveler is not part of a Client (even if they are part of that family or business) the Client pays for the trip. If the advisor wants to store information on the Traveler, Travelers is where to do this. Travelers can be linked to or unlinked from Clients if desired. Learn more about Clients.
Travelers vs. Clients: What's the difference?
Travelers and clients may sound similar, but they each have specific functions in Tres. Think of the travelers section as your online contact list. Store individual specific information about anyone associated with your business such as supplier sales reps, agency advisors, prospects, and of course, travelers.
Clients link multiple traveler records under one umbrella to track trip and payment history.

Search Travelers
Search for travelers using the search bubbles for last name, first name, e-mail, phone number, or tag. Results are sorted in ascending or descending order by any column by clicking the arrow button to the right of the column title. Resize columns by hovering over a column header until the column is highlighted and move to the outside edge of the column until your cursor changes to horizontal arrows. Click and hold to slide the edge of the column in either direction to the preferred size.
Further define search results by utilizing operators. Operators are available in certain filters, and allow users to narrow search data. Current operators include: Equal, Not Equal, Blank, Not Blank, Starting With, and Contains.
Delete multiple traveler records by checking the box next to the records you wish to delete and then clicking the Delete button. Learn more about deleting multiple records.
Modify multiple records at once by checking the box next to the records you wish to modify and then clicking the Modify button. Learn more about modifying records.
Customize your columns, create a new view, or update a current view by clicking the Manage Views button on the upper right side of the screen. Learn more about views.
Email, export to pdf, or print a physical copy your search results by clicking the appropriate buttons.
Adding a New Traveler
To add a new traveler click the + Add Person button. Enter General Traveler information: First Name, Middle Name, Last Name, Courtesy Title, Salutation, Advisor Name, Date of Birth, Redress Number, Known Traveler Number, and Gender.
Add unlimited communications associated with the client. Enter Type (Phone, Email, Social Media, Web); Sub Type (free flow), Value (phone number, email address, or url), and Description. If the entry is a primary source of communication, check the Primary box. Checking off the Permit Marketing box will permit marketing.
Click Save after entering each new communication entry.
Example: Phone - Mobile - 505-555-9056 or Email - Personal - email@email.com
Note: Traveler level communications are ones specific to the Traveler such as a cell phone or personal email address. If you are converting from ClientBase, communications that are associated to a specific Traveler, will convert as a Traveler level communication. Communications that are not associated with a Traveler will convert as a Client level communication.
Use the Debit/Credit & Loyalty Cards section to store unlimited credit card and loyalty card data. Unmask credit card details by clicking the eye icon. Copy the card data by clicking the clipboard icon for easy copy and paste functionality. Edit or delete cards by clicking the pencil or trashcan icon respectively.
Note: For security purposes, all users will be prompted to reauthenticate their login information when unmasking or copying card data.
To enter a new card click + Add Card. Enter Type (Debit/Credit or Loyalty), Card Code, Card Number, Expiration Date, CVV, and Name on Card and Description. Click Save after entering each new card.
Note: All card data is stored by TokenEx, a fully PCI compliant system.
Add Tags to identify something and use that identification to search in the future. Learn more about Tags.
Enter Travel Documents such as Passports, Visas and Global Entries by clicking + Add Document. Click Save.
Enter Emergency Contact Information and Remarks.
Once all your traveler data is entered, click Save All at the top right corner of the screen. A header will be created displaying the Traveler name, associated Advisor, Primary email and phone, and calculated Traveler age.
Traveler Activities
All activities linked to a traveler are found here. Results are sorted in ascending or descending order by any column by clicking the arrow button to the right of the column title. New activities are created directly from this screen by clicking + Add Activity and entering details in the pop up. Learn more about Activities.
Traveler Marketing Codes
See all marketing codes associated with a traveler as well as select or deselect codes. Codes are filtered by Affiliation by selecting an option from the affiliation dropdown menu. This will populate only the codes available for that affiliation (usually a consortia). The codes are defined by the affiliations. For codes that are custom to your agency you should use Tags. You can then toggle between viewing all codes available or just the codes you've already selected for the client.
Traveler Trips
All trips that the traveler is associated with will be displayed here. The traveler must be added to at least one of the trip's reservations for the trip to appear on the list. Results are sorted in ascending or descending order by any column by clicking the arrow button to the right of the column title.
Clicking + Add Trip will open a new tab to create a new trip.
Traveler Actions
An Action is a to do connected to a traveler, while an Action Plan Templates contain multiple actions in a template form.
To add a new single action item, click Click + Add Action Item. To select an action item template, select from drop-down by Template Name and Click + Add from Template.
Delete multiple actions by checking the box next to the records you wish to delete and then clicking the Delete button. Learn more about deleting multiple records.

Traveler Attachments/Links
Add any attachment by clicking + Add Attachment/Link. This will open up a pop up. To add attachments, simply drag and drop or browse for the file on your computer.
To add a link, enter the url and a description in the appropriate fields and then click Submit. Links to content are preferred as they are dynamic and take up less space in your system. Once the content is changed, the dynamic link in the client record is automatically updated.
Note: We recommend including the upload date when naming attachments and links. (Example: 5/1/22 Smith Military Validation).
To view a saved attachment or link, click on the appropriate button in the Action column. Attachments will be downloaded to your device.
