Agencies are able to run a report that details Quote to Booking statistics, see Trip Status Ratio Report. In order to track this, configurations are required in CCTE to update the “Trip Status” which will prompt the creation of Follow Up Workflow Action items.
Note:Trip Status codes must be configured prior to utilising this functionality.
- Only a “Trip Status” with the value ‘Prompt’ in the Table Code Maintenance will initiate the Trip Status update process.
- Only “Trip Status” with the value ‘Follow Up’ in the Table Code Maintenance will initiate the Follow Up Workflow Action item process.
- The Follow Up prompts will only appear for new Trip Files and Trips created using Quick Trip.
- Follow Up prompts will not be applicable to the Trip Files created prior to this enhancement.
The Trip Status should be customised by selecting the action required for the Status in the “Other” field of the Code Maintenance Table:
- Add the ‘Prompt’ key Word to the relevant “Trip Status” value.
- This will prompt users to update the designated “Trip Status” on the Trip files in CCTE whenever the trip is updated on the Segments, Quotes, Accounting or Fees Tabs.
- Add the “Follow Up” key Word to the relevant “Trip Status” value.
- This will designate which “Trip Status” values will trigger a mandatory Follow Up workflow action item when the Trip File is created.
- In addition the Follow Up action items will be defaulted to ‘High’ priority so that the user is directed to access the Pop Up action item.
Note: The user should select these options once per “Trip Status” as CCTE will validate to ensure that these are not repeated for the same “Trip Status”.
Trip Status prompts will be applicable to any trip file that is updated.
The agency supervisor can set Quick Trip fields as mandatory in the Setup Only screen > Mandatory Quick Trip Fields Tab. The “Follow Up Mandatory for Quick Trip used to create Trip Files” checkbox should be checked to make the Follow up reminder mandatory for Quick Trip creation.
Once this has been checked the user must fill in the mandatory fields when a trip file is created via Quick Trip in CCTE.
Based on the above configurations:
- The user will be prompted with this message while updating the “Trip Status”.
- The Follow Up Workflow Action Item will pop up when a Trip File is created. Note: Workflow Action Items are labelled as either an ‘Action’ or a ‘Follow Up’
Trip Status will remain as a manual update, except:
- When a trip file is created from Quick Trip where a Trip File is created– it defaults to “Quote”.
- When the Trip File is downloaded from the GDS – it defaults to “Active”.
A “Resolution” is required in a new field available on the work flow entry.
Note: This new field is only applicable to Workflow Action Items of the type ‘Follow Up’.
- Users will be able to view the “Type” column under Action Items in the following areas in MyCCT:
- My Open Items
- Everyone Overdue
- Everyone Today
- My Completed Items
- Created by me – 90 days
- Per Branch
- Per Consultant
