Follow the directions below to backup your Trams/ClientBase database and upload the file to Tres Technologies to create your testing environment for Tres.
Before You Begin
- The backup will run much faster when running from the server, but you can run the backup from a workstation.
- Ensure there is enough free disk space on the database drive to create a temporary copy (approximately the same size as the original database).
- The utility can run while other users are connected.
- Ensure you are on the latest version of Trams (v4.11)/ClientBase (v4.13). Go to Help > Check for updates and download/install any recent updates.
- Credit card data will not convert to a testing environment. For an actual conversion, click here to run the TresCCUpdate utility.
Step 1: Search for or open the Database Backup Restore utility
Search the computer for 'Database Backup Restore'. You may also have an icon on your desktop.
Step 2: Enter Database Credentials
- Select the Alias.
- Enter the SYSDBA password.
- Select the 'Prepare Cleansed Backup' tab.
- If you do not have the 'Prepare Cleansed Backup' tab, you will need to update the software. In Trams/ClientBase, go to Help > Check for updates.
- Click Start Cleansed Backup
Step 3: Database Copy and Cleansing (Automatic)
The utility automatically performs the following actions:
- Creates a temporary copy of the database so changes do not affect the original. The original database remains unchanged throughout the process.
- This step is typically quick, even for large databases
- Cleanses the copied database to reduce size and remove unnecessary or sensitive data:
- All payment and booking credit card data is masked or purged
- The following areas are removed because they are not needed for conversion:
- Interface
- Cards (credit cards only; loyalty cards are preserved)
- ChangeLog
- Sync logs
- Creates a compressed, encrypted backup
- Once the cleanser is complete, a status message will appear. Click OK.
Step 4: Locate the Backup File
- The backup file:
- Is saved in the user’s TEMP directory
- Ends with .dmp.gbk.zip
- Review the 'Instructions for uploading your backup to Tres' displayed in the utility as it will list the exact location of the zip file. Copy and paste the file path. Example below:
- Note: You may need to move down to find the path.
Step 5: Upload the Backup to Tres
- Click Send to Tres in the utility.
- This opens the Tres upload page in your browser.
- The agency name and encryption password are automatically populated.
2. On the upload page:
- Enter your Zendesk ticket number
- Click Choose File
- Select the backup file using the file path shown in the utility’s Instructions for uploading your backup to Tres window.
- Click Upload
Step 6: Cleanup
- After the upload is complete:
- Close the utility
- The temporary database copy and backup file are automatically deleted
- No further action is required.
- Once uploaded, Tres Support will use this file to create your testing environment and will follow up through your Zendesk ticket.
If you are perfuming a backup for a testing environment, you are done! If you are backing up for an actual conversion, click here for directions on running the TresCCUpdate utility. This is run AFTER your new database if ready.
⚠️ Known Limitation
The current Tres Database Preparation Utility does not support EUA-enabled databases.
These databases must be handled manually until a fix is implemented.
