Many ClientBase Windows users ask what the best way is to access their ClientBase data while they’re away from the office. In this article, we’ll describe the most common options for using ClientBase remotely.
The most common methods for accessing ClientBase remotely:
- Remote desktop access your office computer
- ClientBase Online as an add-on to your ClientBase Windows subscription
- Access ClientBase “in the cloud” using terminal server
- ClientBase Synchronization to share information between multiple locations
Important note regarding third party providers
Remote desktop service to access your office computer remotely
There are a few ways to access your office computer’s desktop remotely. Doing this, you are effectively logging into your office computer from anywhere on the Internet.
Perhaps the simplest way to remotely access your CBW remotely is by using a remote desktop service such as AnyDesk, GoToMyPC, or TeamViewer. It’s just like sitting at your office computer, but from anywhere you have an internet connection.
Microsoft Windows 10 Pro and Windows 11 Pro offer a built-in remote desktop option. You can learn more about it at the Microsoft website.
One important thing to keep in mind is that your office computer must be powered on, and no one else can be using the computer at the same time you are.
ClientBase Online
ClientBase Online is the web-native version of ClientBase. It runs in your web browser and provides most of the capabilities that you’re familiar with in ClientBase Windows. Accessing ClientBase “In the Cloud”
Running ClientBase Windows via terminal services is often referred to as “Cloud Access” to ClientBase. Using terminal services, you can connect to a virtual Windows desktop. This is a rather technical option and there are two ways to go about implementing it.
Cloud Hosting Service (ASP)
There are a handful of third-party companies that will host your entire ClientBase installation “in the cloud.” In addition to allowing users to access ClientBase remotely, these services host your ClientBase (and Trams) database, so you do not need to have a server at your office.
While we do not provide this service directly, many of our customers use Grasp Technologies as their service provider.
Hosting your own Terminal Services server
There are options for hosting your remote-desktop server which would allow you to access your agency’s server remotely. This is a rather technical option we only recommend it if your agency has the technical staff to manage your server. The most common terminal service solutions are Microsoft Remote Desktop Services and Citrix Daas.
Database Synchronization
This option involves installing a ClientBase database on your agency’s server (the primary database), and a second database at your remote location. It makes a copy of the primary database, putting a copy in the remote location and then synchronizing any changes.
